Become an Executive Assistant to the Head Organisation & People Development (Head OPD). Your main responsibilities will include travel itineraries around the world, expenses, calendaring and meeting support to Head OPD. You will be also organizing leadership team workshops, internal events and special assignments/initiatives relating to employee activities. In addition to that, you can take initiative and get involved in various projects and activities to develop further.
You will enjoy this role the most if you like frequent and flexible communication with your manager using technology to bridge physical distances. Your work impacts agendas of many, so we need you to be diligent and organised. You should also possess professional verbal and written communication skills. We would like you to drive time management, anticipate issues, monitor progress, find solutions and gain cooperation of others.
We in Organisation & People Development (OPD) are responsible for the design, planning and landing of various people development and learning programs. This includes strategic initiatives such as Strategic Resourcing, Talent Management, Executive Development, Engagement, Diversity and Inclusion as well as blended, classroom and digitized learning. OPD crafts Swiss Re's culture for business impact by providing simple, creative, and commercial solutions for current and future business challenges.

•Plan and run calendar and arrange travel (domestic and international) including visa applications for Head OPD.
•Set up international video conference calls and handle external visitors.
•Schedule and support with administrative tasks related to the leadership team meetings of Head OPD
•Organising offsites (on site or external) by booking hotels or conference rooms and organising speakers.
•Expense and invoice management.
•Support the preparation of presentations. Verifies, edits and formats documents as required.
•Be a reliable point of contact for requests in the absence of Head OPD. Provide information and answer questions; directs questions to other appropriate staff when necessary. Handles all confidential information appropriately.
•Plan global Townhalls including identifying dates, booking video conference rooms globally, support with agenda planning and presentation preparation as required.
•Manage the Organisation & People Development leadership team Sharepoint site. Upload documents and handle online team calendar.
•Actively maintaining departmental intranet site by posting recordings and presentations of global calls and Townhalls and updating general information.
•Act as workplace manager for Organisation & People Development EMEA, organising office moves and handling any incoming requests from the Workplace Management team.

Requirements for the employee

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

•Preferably an experience in a similar kind of role.
•High energy with excellent organization and time management skills
•Excellent verbal and written skills in English (German is a plus)
•Detail orientated, with ability to handle multiple tasks and deadlines

•Flexible, thorough, self-starter with the ability to work under pressure
•Proficiency in MS Office products such as Excel, Word, Power Point, SharePoint, Outlook and OneNote
•Performs daily work independently with limited direction
