Information about the position

Job description, responsibilities and duties

In this role you will provide personal support to the head of Digital Workplace and support the Digital Workplace (DWP) Leadership Team, consisting of five directors based in Switzerland.

Your contribution will involve personal assistant support including the triage of e-mail inboxes if requested, coordinating diaries, scheduling meetings, travel bookings, managing correspondence and ensuring relevant briefing material is available.

In addition, you will undertake other duties such as organising events, workshops and townhalls in close collaboration with the respective team leaders / Executive Assistant, arranging travel itineraries as well as dealing with general enquiries.

Furthermore, your set of tasks also includes maintaining departments' intranet pages as well as SharePoint sites. Finally, you will also act as 'go to' person for DWP Team members when they are visiting the Bratislava office

Main Tasks:
• Provide personal support to DWP Head and DWP Leadership team
• Triage e-mail inboxes if requested
• Coordinate diaries and schedule meetings
• Issue correspondence and meeting minutes
• Organize events and workshops as well as Townhalls
• Create reports and internal and external presentations
• Arrange travel itineraries
• Handle general enquiries, or transfer them to the appropriate alternative personnel
• Support maintenance of the Share-Point- , Ourspace- and Intranet sites.
• Manage ad hoc requests from an end-to-end perspective as needed

Requirements for the employee

Candidates with education suit the position

University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

• Commercial apprenticeship; further education to EA or Bachelor in Business Administration would be an asset
• Multiple years of experience of working with and providing support to Senior Management (ideally within an IT department)
• Strong interpersonal skills, interacting with others effectively
• Self-motivated, well organized and efficient, setting adequate priorities
• Highly resourceful team-player, able to work effectively with global, multi-cultural team in multiple locations
• Fluent in English. Good knowledge of German is an asset.
• Profound knowledge of MS Office
• Ability to handle confidential information appropriately, to cope effectively with multi-task work situations as well as to work independently and to work under pressure
• Flexibility
• Quality and solution oriented; persistent and thorough
