Job description, responsibilities and duties

In this role you will support the EMEA Reinsurance Teams as a team assistant.

• Organisation of business trips (booking flights, transfers, accommodation etc.)
• Organisation of client visits (booking rooms, registering guests, ordering lunches etc.)
• Taking care of the visa procedure for clients and colleagues according to current guidelines of the corresponding country
• Organisation of meetings (booking rooms, scheduling calendar entries, setting up internal/external teleconferences, videoconferences, SKYPE meetings etc.)
• Active role as Data Steward in RICH Contact Data Management (creation and updating of new/existing Contacts, Partners and target groups)
• Updating of team flyers and distribution lists (ordering of distribution lists via IT ticket)
• Preparation of agenda for meetings, taking meeting minutes
• Supporting the Business Services section heads in providing information quickly for ad hoc requests
• Filing and tracking expense reports, distributing lunch vouchers, handling visitors, processing incoming invoices
• Organising office events and team events
• Ordering of access rights for tools, drives via IT ticket
• Support with setting up and evaluation of surveys

Requirements for the employee

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)
Postgraduate (Doctorate)

Language skills

English - Upper intermediate (B2)

• Education: Secondary school
• 1 year of working experience in administration
• excellent communication and organizational skills
• very good time management and ability to prioritize
• self-motivated and independent
• client centricity, service focused mindset and team spirit
• respectful of cultural differences
• English fluent written and spoken, any other European languages would be an advantage
• Lotus Notes knowledge
• very good knowledge of MS Office tools (Powerpoint, Excel, Word)
