Job description, responsibilities and duties

We are looking for a capable, proactive, dedicated and service-oriented executive assistant to support the Head of Finance Governance.

Main duties:
• Efectively manage the calendar of the Head of Finance Governance and be the "gatekeeper" of scheduling and meeting availability
• Prioritize conflicting needs, handle matters expeditiously, proactively and follow through on tasks to successful conclusion
• Proactive effective email in-box management of the Head of Finance Governance and assist on other communication from brief instructions or notes
• Arrange travel schedules whenever needed and in accordance with T&E policy. This includes planning, booking, visas, preparing itineraries and providing all documents for meetings/presentations during travel
• Independently coordinate meetings, including use of videoconference and organize, as needed, events or conferences, both internal and external to the company, by arranging, amongst other facilities, issuing information and/or invitations support
• Be able to support on additional tasks such as preparing impactful power point presentations
• Be interested in learning about the workings of this large multi-location unit and become a key support for the Head of Finance Governance
• Establish and maintain good relationships with assistants of key internal stakeholders, as well as external partners
• Prepare and process any required purchase order requests and assure invoicing gets done in a timely manner using the internal procurement system

About the Team
Our team Group Finance Governance belongs to the Group Finance Division. Our team provides insight and advice on risk and control related matters by linking finance and risk knowledge and understanding of end to end of financial reporting processes. We support various stakeholders to maintain the system of internal processes, risks, and controls environment as fundamental for compliance with the financial reporting standards and facilitation of audit performance results. We are responsible for implementation of IFRS governance framework, including automation and optimization of the current control environment.

Who are we looking for?
• 2 -3+ years of experience as assistant
• Strong organizational skills that reflect ability to perform and prioritize tasks efficiently and with attention to detail
• Very strong interpersonal skills and the ability and desire to build relationships
• Excellent verbal and written communication skills in English
• Highly resourceful team-player, able to work effectively with global, multi-cultural team in multiple locations
• Comfortable working in a fast-paced environment
• Proven ability to handle confidential information with discretion, be adaptable to competing demands and be customer/client oriented
• Proficient in Microsoft Office Suite
