About The Role:

Executive Assistant provides executive level administrative support to the Global Head Property & Casualty Solutions/Chief Commercial Officer of Solutions (Managing Director) and their teams. Core responsibilities include calendaring, travel (domestic and international), expenses and meeting support. Other activities include setting up and coordinating events, projects and special assignments relating to client and employee activities. The position requires strong verbal and written communication skills. However, there is more to handle. If you have experience in determining priorities, re-prioritizing, driving time management, monitoring progress, problem-solving and ability to anticipate issues as well as adjust plans independently as needed then keep reading!

About The Team:

You will join a team of 10 Team & Executive Assistants based in Bratislava with a local Line Manager.

Key responsibilities:

- Maintains calendars; arranges all travel, meetings, client visits and conference calls, sends meeting invitations, registers visitors, reserves conference rooms and coordinates catering.
- Prepares required requisitions for T&E expense reimbursements and any required Purchase Order requests.
- Organizes programs, events, meetings, or conferences, both internal and external to the company, by arranging facilities, issuing information or invitations.
- Composes correspondence from brief instructions or notes. Verifies, edits, and formats documents and correspondence which may include confidential information.
- Handles confidential information appropriately.
- Prepares reports and presentations using Word, PowerPoint and/or Excel as needed.
- Assists with office procedures, routines and filing systems as necessary.
- Active role as data Steward in CRM system (creation and maintenance of Contacts & Partners and target groups)

Key competences:

- Must be skilled at anticipating issues with day-to-day activities for the people being supported. Seeing problems and resolving them independently in advance is critical to the job.
- Requires high degree of comfort with modern meeting technology including video conference, conference calling, and Microsoft Outlook.
- Understands strategic context and key characteristics of Swiss Re Solutions
- Adapts flexibly to changes in objectives and priorities pro-actively in response to changing business needs

Additional responsibilities involve providing back up support to other Assistants during their absence on an as needed basis. Additionally, completing various other duties of comparable scope and responsibility as delegated or assigned.

Personality requirements and skills

About You

- 3-5 years' experience as a Team Assistant, Executive Assistant or in the area of project or event management
- This candidate needs to be proactive, self-motivated, and high energy with excellent organization and analytic skills.
- Qualified candidates have excellent verbal and written communication skills in English, be detail orientated with the ability to prioritize multiple requests and deadlines.
- Strong working knowledge of Microsoft Office Tools (Outlook, MS Teams, Excel, Word & PowerPoint).
- Successful candidates will be comfortable working in a fast-paced environment, have the ability to interact with staff at all levels and work effectively in a team environment, and respectful of cultural differences.
- The position demands excellent follow-up skills; must be a flexible, detail oriented, thorough, self-starter with the ability to multi-task, anticipate, prioritize, and function well under tight deadlines, heavy workload and pressure.
