Information about the position

Job description, responsibilities and duties

You will be responsible for:
- Managing of business trips (booking flights, transfers, accommodation, etc.)
- Filing and tracking expense reports, processing incoming invoices
- Setting up meetings (booking rooms, scheduling calendar entries, setting up internal/external teleconferences, MS Teams meetings)
- Managing the Public Sector Solutions Outlook mailbox and related team meetings and calendar management
- Support in Event Management (invitations, registrations, reporting)
- Active role as Data Steward in RICH (creation and updating of new/current Contacts, Partners and target groups)
- Manage the administration of team's Sharepoint and communication sites (Sharepoint online/Yammer)
- Updating of team flyers, team lists, organizational charts and distribution lists
- Planning of office events and team events
- Ordering of access rights for tools, drives via IT ticket
- Working very closely with executive assistants in the department, including holiday covers
- Perform any other position related tasks as required and given by assigned supervisors

Other:

- Provide cover for roles in other teams
- Any other ad hoc tasks required from time to time

Market coordination (Americas) – maternity leave cover (till Dec 2021):

- Calendar management for the Head of Americas
- Support for the Americas team (creating client presentations, manage lists of clients, doing ad hoc research, manage pipeline, creating external newsletter)

Public Sector Solutions aims at creating business opportunities by systematically approaching governments and leveraging Swiss Re's full product range to reduce the public sector's contingent liabilities. These solutions include non-traditional risk transfer products as parametric natural catastrophe solutions and weather-based insurance or traditional insurance and reinsurance products such as liability coverages and life and health reinsurance. Public Sector Solutions works directly with governments and public sector entities, through development institutions as well as through conventional insurance channels such as local insurance companies and brokers.

Candidates with education suit the position

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

- Education: Minimum Secondary school
- You have minimum of I year of working experience in administration
- Very good English skills, written and spoken
- Any other European languages would be an advantage
- Excellent communication & organizational skills are a must
- Very good time management and ability to handle multiple tasks
