About the Role

In this role you are going to support the Head of HR Corporate Solutions (CorSo). You will be handling travel itineraries, expenses, calendar and provide meeting support. You will have an opportunity to also engage in social activities like organizing leadership team workshops, internal events and special assignments relating to employee activities. The role will include close cooperation with many other departments. You will also work closely together with the HR CorSo Leadership Team and CorSo Process Coordinator as well as with other Executive Assistants in the HR Executive Team to achieve goals.

You can work independently and you have a strong verbal and written communication skills. We would like you to have experience at settling priorities and re prioritizing as appropriate. This means a strong time management, anticipating issues and finding solutions independently, as well as collaborating with other colleagues.

- Plan and manage calendar and arrange travel including visa applications for Head of HR CorSo.
- Set up international video conference calls.
- Schedule and support with administrative tasks related to the leadership team meetings. Organising off-sites (on site or external) by booking hotels or conference rooms and organising speakers.
- Handle expenses and invoices.
- Support the preparation of presentations. Verifies edits and formats documents as required.
- Be a reliable point of contact for requests in the absence of Head HR CorSo. Provide information and answer questions; directs questions to other appropriate staff when necessary. Handles all confidential information appropriately.

In collaboration with the Corporate Solutions Process Coordinator, you will support the completion of local projects and special assignments by gathering internal data, quality checking its reasonableness and preparing information based on the data. You will also assist in keeping track of the progress against process plans.

About the Team

We are fresh and well coordinated team of 6 executive assistants based in Bratislava supporting 8 HR Managing Directors based in Zurich and London. We strive to develop ourselves as empowered professional team through sharing knowledge, enabling creativity and showing respect to each other.

Information about the selection process

The minimum gross monthly base salary for this role is 1200 EUR full time. Our final offer to you will be set up fairly, considering the skills and experience that you bring to the Swiss Re Group. You can look forward to extra rewards and benefits including an attractive performance-based bonus.

About You

- Ideally 2 years of working experience supporting executives
- High energy with proven organization and time management skills and being able to work independently.
- Excellent verbal and written communication skills in English
- Detail orientated with the ability to handle multiple tasks and multiple requests and deadlines
- Ability to interact with staff at all levels and work effectively in a team environment
- Proven follow-up skills, flexible, thorough, self-starter with the ability to prioritise, anticipate, and function well under pressure
- Proficiency in MS Office products such as Excel, Word, Power Point, SharePoint, Outlook and OneNote.
