Job description, responsibilities and duties

The primary focus of this role is to provide professional, pro-active business and team management support to the iptiQ EMEA Chief Operations Officer and team.

Main tasks/activities:
1.Manage incoming correspondence, including emails, prioritise, respond, and take appropriate action. Manage and respond to straightforward correspondence and produce draft replies for slightly more complex issues;
2.Active involvement in various business activities, including confidential work and liaising when necessary with employees and clients involved in such activities on the COO's behalf, as required;
3.Producing documents, briefing papers, reports and PowerPoint presentations (this part of the job requires development of understanding of business)
4.Screen incoming telephone calls as necessary and deal with general enquiries or transfer as required;
5.Liaise with COO direct reports to support smooth and efficient management of the iptiQ EMEA Operations team and proactively identify ways to improve team engagement and culture
6.Organize events and workshops as well as Townhalls
7.Proactively arrange travel programmes, including planning, expenses, itineraries, etc;
8.Co-ordinate and proactively manage busy diary on behalf the COO (with team assistant), by scheduling appointments and preparation to maximise use of time;
9.Manage ad-hoc projects and tasks at request of COO
10.Manage own workload effectively to achieve agreed service/ business standards;
11.To undertake effectively the necessary learning to develop current and new areas of competence
12.Some travel to Swiss Re locations may be required

iptiQ EMEA is part of Swiss Re's Life Capital division which manages all our life & health primary insurance portfolios across Europe. iptiQ is a start-up, established to deliver innovative protection solutions sold to consumers through Distribution Partners. Our team delivers the coordination, infrastructure and capabilities key to driving forward this new business, while working closely with the rest of the Swiss Re Group.

We are establishing an Operations team within Bratislava which will support the iptiQ Operations teams across Europe. iptiQ is a Luxembourg based insurer with Branches in UK, Ireland, Germany, Netherlands. iptiQ's Operations team supports the delivery of iptiQ's growth for these locations and other countries across Europe, currently Spain & Poland. We are looking for a visionary and creative self-starter to be part of this team with specific responsibility to support the iptiQ Chief Operations Officer in their role and the management of the Operations activities.

Personality requirements and skills

1.English is iptiQ's business language and therefore essential. Additional language skills in any one or more of the following languages would be preferable – German, Spanish, Dutch, French and Polish.
2.Multiple years of experience of providing support to Senior Management from a team & business coordination aspects
3.Experience of working and implementing structures, frameworks and tools to better manage and coordinate a growing team
4.Strong interpersonal skills, interacting with others effectively and managing stakeholders expectations
5.Self-motivated, highly organized and efficient, setting adequate priorities
6.Ability to handle confidential information appropriately, to cope effectively with multi-task work situations as well as to work independently and to work under pressure
7.You have strong social and presentation skills; able to demonstrate a clear and articulate standard of written and verbal communication
8.You are happy working independently and collaborate strongly and actively with other team members as required especially in a virtual environment across multiple locations
9.You are committed to quality, attention to detail and are solution oriented; persistent and thorough
10.You understand and live iptiQ culture and values – can do and proactive attitudes.
11.You are proficient in MS Office, particularly Outlook, PowerPoint and advanced Excel is important
