Job description, responsibilities and duties

HR Administration Specialist will strengthen Contract Administration team in order to support growing HR SSC teams in Bratislava. Contract Administration team primarily supports HR Advisors, HR partners, hiring managers, future and current Swiss Re employees and acts as an interface between the company and employees.

HR Administration Specialist within Contract Administration team will be responsible mainly for on-boarding and off-boarding process for employees based in EMEA and US countries. He/she will contribute to the smooth integration of new employees to the company as well as to the efficient off boarding of leavers. In addition, HR Specialist will be handling off cycle salary changes, band changes and other job changes related requests that require contract addendums and HR data entries.
Main tasks/activities:
•Create contracts, offer letters, transfer letters, addendums, extensions for new employees
•Ensure correct HR data entries and maintain internal systems
•Responsible for accuracy of compensation set up for new and leaving employees
•Responsible for exit procedures
•Handling off – cycle salary and band changes requests , other requests related to job changes and issue required contract addendums
•Manage the correspondence with new employees and recruiters and keep track of all required documentation such as work permit, reference letters, criminal background check, child allowance form etc.
•Responsible person for guiding and supporting the involved parties in case of any questions or issues
•Daily cooperation with other HR teams and departments (Payroll, HR systems, Pension Fund, Logistics, IT)
•Drive for high customer satisfaction within given framework and constantly improve internal processes and procedures to increase client orientation and effectiveness
•Continuous optimization of current portfolio, processes and procedures in close cooperation with HR Service Delivery team
•Ensure strict adherence to HR processes and guideline, apply 4 eye principle of all payroll relevant data entries
•Participation in various global HR initiatives and projects
•Perform other position related tasks as instructed by Supervisor

Requirements for the employee

Candidates with education suit the position

University education (Bachelor's degree)
University education (Master's degree)
Postgraduate (Doctorate)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

•Work experience in HR and in an international environment (shared service center)
•Excellent attention to details with the ability to prioritize workload is a must
•Strong interpersonal skills and excellent communication skills
•Strong service and client orientation
•Capability to demonstrate flexibility and adaptability to changes
•Willingness to improve continually and seek for challenges
•Fluency in English is a must, any additional language (German, French, Spanish) would be nice to have
