Information about the position

Job description, responsibilities and duties

In this role you will provide paralegal, know-how management and administrative support to the Corporate Governance team in respect of the corporate governance of reinsurance entities located in EMEA and their worldwide branches and/or subsidiaries, respective boards and committees, as well as to other Swiss Re companies, businesses and operations in Switzerland and EMEA.

EMEA - Corporate Secretariat - Paralegal support
• Coordination of the corporate calendar of all the EMEA entities in scope (i.e. Board, committees meetings, pre-reading submission deadline and meetings with the regulators);
• Preparing and distributing board meeting/committee standard documents and training materials;
• Maintaining records of training delivered to board members, committee members, branch managers and induction materials;
• Assisting with the annual review of the terms of reference, Solvency II policies and maintaining the related database,
• Assisting with the annual review and approval of the regulations on the authority to sign and related list of exceptions, maintaining FAQ document and records of training delivered on signing regulations ;
• Preparing answers to requests for corporate documents from auditors or regulators;
• Assisting with quarterly update of the internal information system (EnGlobe) for Slovakia and EMEA locations with no local Corporate Secretariat support (e.g. Italy, South Africa)

EMEA Corporate Governance - Know-how management:
• Assisting with the set-up and maintenance of a Know-How database;
• Development of templates and standard procedures for company secretariat documentation (for example documentation relating to the approval of annual account, change of board members or branch managers, notification towards the commercial registers);
• Assisting with the quarterly update of the Corporate Governance Coverage document
• Monitoring of corporate governance developments and best practice in EMEA.

EMEA Administrative support: Assisting the corporate governance team members with:
• arranging internal meetings, workshop, training session, take minutes and monitor list of follow-up actions
• maintenance of team presentation and Atticus/Sharepoint team site
• monitoring of outsourced services, preparation of team budget, arranging payment of invoices.
• handling correspondence and telephone calls

University education (Bachelor's degree)
University education (Master's degree)
Postgraduate (Doctorate)

University degree, preferably in law.
Minimum 2 years of prior experience, preferably in a law firm or legal department.
