Information about the position
Job description, responsibilities and duties
As a Receptionist you will be responsible for administrative functions of the reception desk and represents company to visitors.
Key tasks and responsibilities:
- Welcomes visitors and directs visitors to the relevant employees.
- Provides general information about the company, makes appointments. Maintains a record of visits and distributes visitor passes.
- Operates the telephone exchange, responsible for answers of incoming phone calls and forwarding those to relevant employees, in case of their absence taking a message.
- Responsible for incoming and out-coming emails from/to mailboxes (reception), fax messages and post mail and distributing them to relevant employees.
- Responsible for maintenance of voicemail and messages distributing to relevant employees, especially distributing messages regarding to adverse events to the local responsible person for pharmacovigilance.
- Responsible for distribution of incoming post mail as well as dispatching of shipments from the company and for registering and processing of incoming invoices
- Responsible for keeping the record of meeting rooms in use / orders refreshment, lunch and drinks for employees if needed.
- Issue and maintain purchase order in the Roche purchase application in accordance with SOP.
- Organizes business travels /especially logistics, accommodation, flight tickets, transfers/ for Leadership team members.
