Job description, responsibilities and duties
Primary responsibility of the Assistant/Reception is to ensure that office operates smoothly, everything is in order, calls are answered and customers welcomed. Assistant of reception oversees that all rooms are in order, is responsible for morning, afternoon and regular routines to make sure office and all team members have necessary support during ProRelocation office hours.
Assistant works responsibly, with focus on detail and understands importance of data privacy and security in all aspects of the work, is well acquainted and proactive in learning about company procedures and processes and follows them diligently.
- Picking up the phones, welcoming guests, taking messages and assisting colleagues
- Processing documentation – receiving and sending regular mail, scanning originals, recording and further processing of documents, ordering of translations and couriers
- Communication with customer (personal and via phone) - accompanying to notary office or assistance with formal handover of documentation etc.
- Basic communication personal, email and via phone with authorities in order to process paperwork or review information - Labour Office, Foreign Police, Embassies, Business Register, Cadastre Office, Notary Offices
- Keeping records and preparation of reports relating to service delivery and cost of service
- Dealing with agenda as per instructions from team members - consultants or managers
Working Hours
ProRelocation reception is opened for customers from 8:00 until 16:00. Working shifts are either from 8:00 - 16:00 or 9:00 - 17:00 .
