Job description, responsibilities and duties

Provide administrative support to the central marketing team on the remote basis (samples ordering, events management, office supplies)

1. Responsible for i-shop (KPE) and SAP (KPA) accounts for the regional marketers in Zurich (circa 10 people)
• Set up/transfer/deletion of Zurich Marketer accounts in i-shop and SAP
• Managing the MTL settings in i-shop and SAP by using Digiform
• Providing the Zurich Marketers with the actual T-Class list of i-shop
• Train new Zurich Marketer members about the SC/PO/IR/DP and Digiform procedure in G&C

2.Set up / Changes – requests for OSR team
• Handling SOX Forms
• Handling Digiforms

3.Handle the whole SC/PO/IR/GR procedure
• Processing of all shopping carts through the i-Shop system (creation till closing)
• Processing of all shopping cart invoices through the SAP system (arrival of invoice until payment of invoice)
• Processing of all invoices through the SAP system
• Keeping track of all shopping carts by entering them into the separate shopping cart excel sheet
• Handling of invoice list from EBSC
• Handling of ALL issues related to shopping carts and/or invoices
• Request the opening of new vendors in SAP

4. Key User / Training
• Being part of the key user team (joining the regular meetings, discuss cases / situations in the iShop / SAP process which could be simplified / changed, finding the best solutions to handle the process of iShop / SAP, preparing training sessions, etc.)
• Creating own training manuals for the G&C marketing team as well as for the TA’s and PA’s
• Giving private training sessions to the Team Assistants (TA’s) and Personal Assistants (PA’s) in the Lightcube
• Assisting and helping the TA’s and PA’s with difficult Shopping Cart cases
