We are looking for an enthusiastic, responsible and experienced Executive Assistant to support the Management Board of Memepool s.r.o. and affiliated organizations. Working closely with the top management, you will handle various administrative duties  and play a key role in supporting the team in planning, logistical, financial matters and ensuring smooth day-to-day operations. You should come from a background of office management, project management, ideally in the field of software development.

Responsibilities: 

Online Office Management

  • Keep track of the schedule and availability of the management board members.

  • Coordinate travel arrangements and logistics.

  • Manage corporate email accounts and related communication channels.

  • Maintain departmental filing systems (physical or digital) and ensure proper document organization and retrieval.

  • Manage and maintain inventory of hardware and software assets (accounts etc).

  • Assist with onboarding new staff members by setting up their accounts, equipment, and access permissions.

Communication and Collaboration

  • Draft and send professional communications, like meeting agendas, reports, or announcements.

  • Collaborate effectively with internal staff and external organizations to ensure smooth workflow and information exchange.

  • Communication and organization of external stakeholders (3rd party services, integrators) and accounting/tax/legal service providers.


 Financial Management 

  • Execute and monitor invoices & payments.

  • Prepare & present the recurring financial agenda (payments, salaries) to the Management Board.

 Legal and Organizational

  • Help organize offline retreats for the company as well as small online events.

  • Prepare and communicate contractual matters with the company team members.

Other 

  • Be proactive in identifying areas for improvement for administrative processes in the daily work with the Management Board.

  • Maintain confidentiality of sensitive data and adhere to company security protocols.


The position is fully remote, location independent. Ideal candidates live in Slovakia or Central Europe.

Occasional personal meetings and traveling are required.

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

Educational Specialization

Operations Management, IT, HR, Business, Accounting, crypto / web3

Language skills

English - Advanced (C1) and Slovak - Advanced (C1)

  • Technical Skills: Basic computer and software knowledge (Being able to manage Google Workspace - Word, spreadsheets, email, calendar; Being able to manage financial software to process invoices.

  • Financial Management: Experience with accounts payable, payroll, or basic bookkeeping.

  • HR Knowledge: Familiarity with HR processes, onboarding, and candidate communication.

  • Legal Awareness: Understanding of basic legal concepts relevant to the company's operations.

  • Travel Management: Experience with booking travel arrangements and logistics.
