Job description, responsibilities and duties

Tasks for this role will include:

General Tasks:
• Assist with general administration (payments, expenses and invoice handling, relocation issues).
• Organize and co-ordinate team meeting arrangements and associated tasks.
• Issue letters, reports, forms. Draft brief memoranda or letters of a routine nature.
• Identify issues in documents, memos, correspondence or telephone calls that require action and handle by selecting from available alternatives.
• Provide logistical support (ordering of materials, office supplies, business cards) using SRM application.
• Send out brochures, demos, mass mailings as requested.
• Work with other department Assistants to ensure best practices and BCS.
• Maintain and update absence records on PeopleSoft as/if required.

Specific Tasks:
• Provide general back office support, including travel arrangements, correspondence, organizational charts, compiling data, expenses, invoices, accruals, back charges, cost controlling, contract management, calendar management, PeopleSoft, and meeting minutes and reports
• Organize meetings, workshops, roundtables, congresses - including venues, agendas, handouts, dinners, contracts and visas (when necessary), and team events while ensuring best value for money
• Organize 3rd party congress and Academia trainings from logistic point of view including eCATS application. Organize trainings - including venues, agendas, handouts and training materials, dinners, team outings, contracts and visas (when necessary), as well as the follow-up of evaluations, and additional information requests, while ensuring best value for money
• Maintain direct contact with the BM's in SHQ in order to ensure a good working relationship with open communication
• Contracts/ BCS/ legal issues - Coordinate and follow up with Legal and HR if applicable: set up and renewals; ensure proper follow-up on duty fulfillments; follow-up with Finance department that payments are done on time
• Prepares orders for all activities connected to business unit

To support our APV business team in Slovakia and Czech Republic, we are looking for an administrative assistant.

Assistant will perform diverse secretarial and administrative duties, which by nature of the position include high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion and judgment.

Requirements for the employee

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Advanced (C1) or Czech - Advanced (C1)

Personality requirements and skills

Must Have:
• High School diploma or equivalent
• 1-2 years vocational training
• Proven track report of working experience in office support environment
• Strong planning and organizational skills
• Excellent communication skills - written & oral
• Native Slovak language
• Fluent English, both written & spoken
• Results/Solutions oriented ('get it done')
• Ability to work in complex organizations
• Ability to cope with demanding workload
• Multi-tasking and prioritizing
• Proactive, independent, self-sufficient
• Excellent computer skills, with excellent knowledge of Excel, PowerPoint, Word and Outlook

Nice to have:
• Medical Device or Pharmaceutical industry experience
