Job description, responsibilities and duties
We are looking for an Office Assistant to perform a variety of administrative tasks including maintaining the efficient operation of the office and reception desk, managing calendars, making travel arrangements and preparing presentations. To be successful in this role, you should be well-organized, have great time management skills and experience in independent office management.
This is a part time position for 80h/month with working hours between 8.00 - 12.00.

What would be your daily responsibilities?
- Coordinating internal and external appointments and meetings to keep them running smoothly (i.e. scheduling meeting times, arranging travel for participants and ensuring availability of various amenities such as space, equipment, food and drink)
- Supervising the proper flow of documentation (i.e. creating reports, preparing minutes from meetings, preparing important company documents, keeping records and preparing presentations)
- Arranging business travel by booking accommodation and reservations as required, including flight, hotel, taxi and car rental reservations
- Managing the office and reception desk by performing various administrative tasks, such as booking conference rooms, organizing and distributing mail, post & courier arrangements, handling incoming calls
- Purchasing of office supplies and equipment as well as maintaining appropriate stock levels
- Coordinating corporate events as needed
