Information about the position

Job description, responsibilities and duties

Under the overall guidance of the Chief of Mission in Bratislava, the overall coordination of the Migrant Protection and Assistance (MPA) National Project Officer, and in collaboration with other team members, the incumbent will be responsible for administrative support to activities within the Migration Information Centre (MIC).
1. Organize and archive financial and project documentation and provide overall administration support;

3. Support administrative and reporting unit within the projects implementation, involving liaison with diverse organizational units and external parties to initiate requests, obtain necessary documents, clearances, process, and follow-up on administrative actions, copying, archiving, filing etc.
4. Prepare requests for payment and other supporting documentation for donors;
5. Perform general administrative tasks to support the project implementation in a timely and efficient manner, and in full alignment with the Organization’s standard administrative procedures
6. Support the creation of tools to facilitate implementation of services and monitoring of the project’s activities
7. Draft status reports, identifying shortfalls in delivery and bringing them to the attention of the supervisor.

9. Draft correspondence, reports, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
10. Monitor budget; verify availability of funds; obtain necessary approval and update budget related information
11. Assist to organize meetings, workshops and training sessions.
12. Respond to general information requests and inquiries; set up and maintain files/records.
13. Perform other related duties as assigned

Special Short Term Contract, until 31 October 2023 with possibility of extension

General Staff (GIV, UN Salary Scale valid for the Slovak Republic since 1 Jan 2022). Step one of the salary scale corresponds to all inclusive fee 1,429.17 EUR per month (income is exempted from taxation).
6 weeks of paid annual leave per year (2.5 days per completed month of service).
24 days of paid sick leave per year (2 days per completed month of service).

Education
• Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, Economics, Business Administration, or related fields from an accredited academic institution with at least two years of relevant experience, or:
• Completed High School degree from an accredited academic institution, with at least four years of relevant working experience, preferably in similar roles.

Experience
• Experience in administration and financial reporting of EU or other donor funded projects;
• Support administrative unit within the projects implementation, involving liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions, etc.
• Ability to organize administrative workload, prepare documentation and requests for payments
• Experience with general administrative tasks to support the project implementation
• Experience in administration and financial reporting of EU or other donor funded projects is an advantage;
• Demonstrated ability to draft and prepare clear and concise correspondence (in Slovak and English)
• Demonstrated ability to work well under pressure and to keep deadlines
• Experience in liaising with governmental authorities, national/international institutions, non-governmental organizations and private sector
• Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage;
• Organize meetings, workshops and training sessions.
• Respond to general information requests and inquiries; set up and maintain files/records.
