Information about the position

Job description, responsibilities and duties

Working under the overall supervision of the Head of Office, and the direct supervision of the Head of Sub office, and the thematic supervision of the Programme Coordinator, and in close coordination with the all programmatic focal points, the successful candidate will assist with monitoring, data gathering and analysis, documentation, and reporting of IOM’s programme implemented by the sub office. The incumbent will provide support and technical assistance to thematic reports and knowledge products and assist with document reviewing process in line with the Organization's policies and procedures, IOM's donor requirements, and results-based management policies.
Core Functions / Responsibilities:

1. Regular monitoring activities in the field per work plans, in coordination with the programme teams, ensuring that monitoring arrangements comply with agreed systems and donor agreements. Be responsible for Budget Monitoring and Project Cycle activity monitoring, preparing Work Plans and Road Maps, and ensuring the activities against the Work Plans and Road Maps as required.
2. Support in creating content and the reporting format as needed for the preparations of external and internal reporting.
3. Lead and build capacity of relevant teams concerning reporting responsibilities, requirements, and deadlines, ensuring staff understand IOM regulations and the importance of Data Protection Principles etc
4. Provide and coordinate inputs for information requests from the Country Office in Bratislava, Headquarters, the Regional Office, other IOM missions and external partners, such as donors, government, partner agencies, and implementing partners, in close coordination with Head of Sub Office (HSO) Emergency Coordinator (EC).
5. Provide information for and facilitate the incorporation of cross-cutting themes (i.e. gender, protection, etc.) in project concept notes and proposals in line with IOM’s Project Handbook
6. Support thematic teams and support units in coordinating IOM institutional reporting such as the Annual Reporting.
7. In close coordination with relevant focal points, assist in drafting interim and final project reports.
8. Perform editing, integration, rewriting, abridging, simplification, or restructuring of narrative texts for clarity, readability, consistency, and logical sequence; clarify ambiguities and correct errors in consultation with management.
9. Liaise regularly with programme teams, to maintain familiarity with project needs, parameters, and activities.
10. Support drafting of concept notes, project narratives, work plans, and other project-related documents in close coordination with relevant units.
11. Support updating various communications products such as the IOM Slovakia website, factsheets, brochures, and Situation Reports.
12. Coordinate with the Media & Communications Team, Programme Teams, to produce visibility materials for publicity to appeal to donors for resource mobilization by recommending content and carrying out preliminary editing.
13. Provide technical and backstopping support in documentation to relevant units in the mission
14. Perform such other duties as may be assigned.

General Staff (GVII, UN Salary Scale valid for the Slovak Republic since 1 Jan 2009). Step one of the salary scale corresponds to all inclusive fee 2199 EUR per month (take home payment of 2164 EUR - income is exempted from taxation).
6 weeks of paid annual leave per year (2.5 days per completed month of service).
24 days of paid sick leave per year (2 days per completed month of service).

Education
• University degree in Social Science or a related field from an accredited academic institution with relevant experience with at least five years of relevant professional experience, preferably in similar roles;
OR
• Completed High School degree from an accredited academic institution, with at least seven years of relevant working experience, preferably in similar roles.

Experience

• Experience in writing reports, papers, briefings, and articles, with own work published an advantage;
• Experience in project reporting, implementation and management, preferably in the field of research and evaluation;
• Proven experience with information/data collection, entry, analysis and report writing;
• Experience with international humanitarian organizations, non-governmental or governmental institutions/organizations in a multi-cultural setting.

Skills

• Strong coordination and communication skills;
• Monitoring, implementation and supervising skills;
• Excellent organizational and interpersonal skills including ability to work under time pressure;
• Ability to work individually and in multicultural team

Languages

• Fluency in English and Slovak (oral and written).
• Knowledge of another official IOM (French, Spanish) language is an advantage.
