Job description, responsibilities and duties

The successful candidate will be responsible for handling relations with suppliers (Operations) or/and Program Directors (Program Services ), resolving quality issues, planning the activities for the tour groups before the season start in pursuit of our company’s excellence goals.

Responsibilities include:
Operations Coordinator:
• Book all services with local suppliers prior to start of the season (hotels, bus companies, restaurants, local guides, etc)
• Provide sales updates to suppliers on monthly/weekly basis
• Book and confirm all arrival and departure transfers (to/from airport)
• Book and confirm special arrangements for individual passengers
• Resolve quality issues related to the tour, itinerary and features included in the program
• Handle relations with suppliers (bus companies, restaurants, local guides, etc.)
• Reconfirm services with suppliers prior the cruise as per workflow calendar
• Book and confirm special arrangements for individual passengers
• On demand - Support in buying and in searching of secondary vendors

Program Services Coordinator:
• Handle relations with Program Directors (assigning/changing tour schedule)
• Handling administrative tasks such as: signing and filing all agreements and time sheets, preparing all Group documents, reviewing all Group and Guide travel expenses, collecting and filing all end of trip documents
• Creating and maintaining Program Directors' personal files
• Monitoring the Program Directors' results through survey and quality analysis (informing them about the outcome, providing suggestions for improvement.)
• Data entry and database management to ensure accuracy of company systems
• Coordinating all logistics for Program Director hiring, training trips, and business meetings

Both Coordinators:
• Prepare & Finalize tour materials for Program Directors prior the cruise as per workflow calendar
• Respond to Customer Service/Quality Requests received from headquarter
• Support phone duty appx every 5th week (including after office hours and during weekends to support Program Directors with emergency situations)
• Customer care over the phone to assist hospitalized travelers during the trip or in case of an emergency
• 1-2 times a year travelling on the product (interaction with travelers on board) and for the company regional meetings

University education (Bachelor's degree)

Language skills

English - Advanced (C1)

Computer skills - user

Microsoft Outlook - advanced
Microsoft Excel - advanced
Microsoft Word - advanced
Microsoft PowerPoint - basic

Personality requirements and skills

Requirements: Competent, strong, engaging leader with ability to make people feel valued with:
• Fluent English written and spoken (Company official language: English)
• Able to communicate in another European language is welcomed (German preferably, Hungarian, French)
• Proficient with Microsoft Office package (especially Excel)
• Strong People Skills & Customer Care Oriented
• Self-starter who is able respect deadlines and prioritize
• Demonstrated success in making tough decisions and taking risks
• Working longer hours and 1-2 times a year travelling on the product and for the company regional meetings
• Passion for travel
• 2+ years’ experience in Travel & Tourism Business preferred.
