Job description, responsibilities and duties
GLOBSEC is looking for an Junior Event Coordinator at the Production department.
Events:
• Coordination of the event from logisitical part - venue, accommodation, catering, technical equipment, transportation, decoration and other ad hoc activities for all the GLOBSEC events.
• Active communication with suppliers, project team and partners - as a part of the project team, event specialist also regularly joins project team meetings, reports and brainstorms about current activities. Provides additional services according to the requirements of project managers.
• Prepares, organizes and participates on GLOBSEC Flagship Events and smaller events ( roudtables, side events, discussions) in GLOBSEC and beyond
• Proactively looking for appropriate and the most suitable services/goods according to the requirements of the project manager and negotiates prices.
• Coordinates and oversees the co-operation with suppliers.
• Perform regular market research to look for innovations applicable to GLOBSEC events
• Performs additional tasks assigned by a direct superior.
Internal Processes:
• Coordination of business trips - booking and reservation of accommodation, transportation and venues for project managers and project participants on business trips around the world.
• Close cooperation with the finance department on final invoicing and payment of providers.
• Updates vendor databases.
• Coordinates activities with other departments and project managers.
• Analyzes weak spots in event management and suggests improvements.
