Job description, responsibilities and duties

We are looking for a motivated administrative professional who would like to work in an international environment and support our globally operating company. This position consists of administrative support in legal and procurement. If you are an organized person with good communication skills who enjoys working with people from different countries and cultures in close cooperation with our company headquarters in Vienna, then this position is perfect for you!

Your main responsibilities:

1. Administrative support to the legal department

• Collecting and reporting insurance data and preparing it for the insurance broker
• Resolving insurance discrepancies and billing with the insurance broker
• Collecting information from subsidiaries
• Reporting accident and health insurance claims to administration
• Preparing PowerPoint presentations
• Reviewing documents in Word

2. Administrative support to the central purchasing department

• Creation of suppliers in the SAP system based on the information provided in the questionnaires
• Storing documents in the supplier's folder (in the central server, in MS teams)
• Creation of goods records
• Processing purchase requests and releasing purchase orders to suppliers in accordance with the procurement operating procedure and within quality and time constraints
• Recording and tracking purchase orders and deliveries to ensure reliability of supply

Know-how and experience :

• Minimum of 2 years administrative experience gained in an international environment
• Secondary or university degree in business administration is an advantage
• Communication and presentation skills
• Accurate, structured and self-organized individual with attention to detail and analytical skills
• Intermediate knowledge of MS Excel, MS Powerpoint and MS Word
• English language at least at B2 level
• German at least at B2 level
