Job description, responsibilities and duties

The European Alliance for Innovation (EAI), the largest European professional society in Information sciences and engineering, is searching for a Conference Manager to participate in the organization and execution of conferences.

The job offers international experience in over a hundred countries. Work is in English and may include international travel. Experience in scientific or academic based conferences as organizer or participant is a plus.

Specific Job responsibilities include:

• Coordinates and follows the conference organization process with research and academic communities
• Monitor conference website content and provide updates to marketing team as needed
• Assist with preparation of materials and arrangements such as name badges, registration materials, conference signage, speaker correspondence, travel confirmation letters.
• Keeps up-to-date daily on the status assigned conferences.
• Participate in planning in conference budgets and venues.
• Liaises with EAI Conference team and academic conference organizers, speakers, and presenters to arrange individual sessions / poster boards and exhibits
• Coordinates promotional mailings
• Prepares comprehensive post-conference reports including, but not limited to, venue data, income and expenses
• Helps in training and briefing on-site staff / volunteers before an event.
• Follows up with conference communities in developing new conferences in evolving research areas and countries around the world.
• Other duties as assigned

• An advantage is an ability to build relationships with the research communities as a basis for successful conference execution through collaboration.
Excellent English, ability to write business correspondence clearly. Ability to effectively present information in one-to-one and small group situations.
• Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral or schedule form.
• This position is suited to a self-motivated, professional person who can confidently work with a variety of people from different cultures and backgrounds. Diplomacy and  tact are important to the success of this person.
• Good knowledge of standard software packages, including Word for Windows and Excel are a must. Experience with Adobe Creative suite, Wordpress, and Social Media tools are a plus.
