You should have the ability to operate successfully within a startup culture which encourages a proactive and empowered mentality without hand holding. Previous experience as a Front office manager or office administrator would be an advantage. A successful junior office manager should also have experience with a variety of office software - email tools, xls, google spreadsheets/doc/calendar and be able to accurately handle administrative duties. Junior office manager will respond and be supervised by senior office manager. The ideal Jr. office manager will know that no two days are alike and will be able to adapt to an ever-changing environment.

Responsibilities:
  • Manage and support day to day office operations
  • Order weekly supplies of snacks and drinks for the office
  • Monitor and maintain office supplies
  • Maintain a tidy office and check in on conference rooms
  • Assist in planning and executing both small and large events for our company
  • Schedule company meetings and appointments
  • Maintain the office condition and arrange necessary repairs
  • Back office tasks, e.g. bank transfers, invoice control
  • General organizational tasks, e.g. preparatory accounting
  • Ensure that all items are invoiced and paid on time
  • Help your supervisor to organize office operations and procedures
  • Order transportation and accommodation for employees
  • Help your supervisor manage contract and price negotiations with office vendors, service providers and office lease
  • Assist in the on-boarding process for new hires
  • Coordinate with IT department on all office equipment
  • Partner with HR to update and maintain office policies as necessary
  • Welcome visitors in a friendly and professional manner if asked
  • Additional duties as needed
