Job description, responsibilities and duties

Workplace center Bratislava is department of CBRE. We are a team of experts in Space and Occupancy management. We closely cooperate with Workplace Consultant´s teams in the UK, across Europe and US based on the global occupancy contracts. Our team manages the client`s premises as well as supports them with space planning, architecture and design activities. We help them to oversee their buildings portfolio – CAFM /computer aided facility management/ using IWMS /integrated workplace management software/. Our data experts track and analyze space and occupancy data, our CAD experts work with buildings, maintain floorplans and apply local as well as global standards. Our space planners and specialists work on planning, forecasting and designing best solutions for client´s workplace to meet & exceed their expectations.

Job Purpose:

Undertake the development, communication, and deployment of occupancy planning and migration initiatives, ultimately resulting in efficient use of buildings. Enact defined workplace objectives, implement operational processes, and deliver innovative solutions to maximize the use of space.

Key Accountabilities:

  • Manage and guide all aspects of the delivery of work space and productive environments. Develop project work plan and deliverables and create presentations which effectively communicate the project objectives
  • Track progress of assigned projects against goals, objectives, timelines and budgets. Compile and share baseline packs for accommodation inquiries
  • Collate data provided by central data team into monthly occupancy demand planning reports. Proactively identify opportunities for efficient use of space and workplace initiatives. Report monthly on delivery of emergent space requirements
  • Combine forecasts of business unit growth with occupancy demand planning to develop tactical plans for site 1-3 year occupancy demand planning
  • Prepare assigned account and business group reports to pre-determined frequencies; schedule and facilitate meetings as needed
  • Develop a familiarity with the enterprise, key contacts and an expertise with the internal processes of assigned business groups
  • Manage communication strategies for all stakeholders within aligned business groups, especially with the space representatives and relationship managers
  • Work closely with central data team to ensure that site information is kept up to date at all time
  • Provide information as and when required to support the central data team to create stack plans and space planning options to support business cases
  • Develop framing documents and business case analyses for aligned business groups
  • Ensure and facilitate excellent communication with clients, stakeholders and team members; maintain and share all relevant information and/or lessons learned
  • Manage a systematic approach on occupant satisfaction at the service delivery level
  • Contribute to continuous improvement programs, identifying and implementing cost savings and business improvement opportunities
  • Provide support in executing the established space governance model / principles in-line with client guidelines.

English - Advanced (C1)

Personality requirements and skills

• Bachelor’s degree (BA/BS) from a four-year college or university in related field. A minimum of 3 years experience
directly related to the delivery of strategic Real Estate and Occupancy planning services, or equivalent combination
of education and experience.
• Ability and desire to drive solutions, problem solve and to work and lead in a fast-paced/dynamic organization
• Abililty to understand and be responsive to client’s physical and business requirements
• Understanding workplace, financial and organizational capabilities to effectively interpret client input into projects
• Effective at gaining trust and confidence with stakeholders, understanding and addressing priorities to enable business objectives
• Good working knowledge of automated CAFM systems
• Excellent drafting skills in AutoCAD are a considerable advantage
• Excellent drafting skills in Archicad, Revit, or other 3D modelling software are an advantage
• Management of staff development plans, training and performance including appraisals and disciplinaries

COMMUNICATION SKILLS

Ability to write reports, prepare quality powerpoint presentations and effectively lead discussions; ability to engage in active listening and effectively interact with clients and stakeholders at all levels

MATHEMATICAL SKILLS

Ability to apply concepts of basic algebra and geometry to practical situations

REASONING ABILITY

Ability to solve problems and deal with a variety of options in varying situations and ambiguity; requires analytical and quantitative skills

KNOWLEDGE REQUIREMENTS

Awareness of Health & Safety and other legislation in respect of accommodation planning (occupancy capacities, fire escapes, facility provisions etc)

Microsoft Office Suite including PowerPoint, SharePoint,Visio and Excel
Ability to self motivate and drive others towards clearly defined goals
Ability to document processes, procedures and best practices
