Job description, responsibilities and duties

Reporting to the Director, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Director. The Executive Assistant also serves as a liaison to the executive management teams; organizes and coordinates external relations efforts; and oversees special projects. The Executive Assistant to the Director will have responsibility for coordinating work activities and projects across a team of Executive Administrative Assistants.
This individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to manage multiple demands and be proactive in identifying issues and needs of the Director. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with the utmost discretion. The Executive Assistant is expected to communicate and act in a manner at all times that is representative of the Director. This role will provide a bridge for smooth communication between the Director, and internal departments demonstrating leadership to maintain credibility, trust and support across the organization.

ESSENTIAL FUNCTIONS :
• Completes a broad variety of administrative tasks for the Director including: managing an extremely active calendar of appointments; completing complex expense reports; composing and preparing correspondence with a high level of sensitivity and confidentiality; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Able to respond and quickly adapt meetings, scheduling and travel due to last minute unplanned changes.
• Plans, coordinates and ensures the Director's schedule is followed and respected, acting as the primary point of contact. Works with external and internal parties needing direct access to the Director's time and office.
• Communicates on behalf of the Director, with internal and external parties, on matters related to Director's initiatives, meeting agendas and engagements.
• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
• Works closely and effectively with the Director to keep informed of upcoming commitments and responsibilities and following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Director updated.
• Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Director, some of which may have organizational impact.
• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
• Manages special projects as assigned from conception to completion.
• Supports Director in external commitments, including service on external boards, committees and other groups.
• Provides leadership and direction to a team of executive administrative assistants ensuring alignment on key initiatives, projects and work activities as well as backup plans to cover vacations and unplanned absences.

MINIMUM REQUIREMENTS :
Education/Experience:
• Bachelor’s degree required
• 10+ years of professional experience with direct responsibility for supporting C-Level Executives in a corporate environment
• Prior experience supporting Director
• Project management experience preferred
