Information about the position

Job description, responsibilities and duties

We are looking for an experienced Team Assistant to support the iptiQ EMEA P&C Executive Team and Executive Assistant to the CEO iptiQ EMEA P&C. You act as an entry point for a variety of topics and coordinate requests from internal and external partners. The job requires strong team player and organization skills, with responsibility for planning and setting-up a wide range of meetings/team events, IT know-how, liaising with attendees at all management levels and ensuring that logistics are well executed.

Scope of work:

• Entry point for new joiners and supporting with various Onboardings and IT-related requests for internal and external employees (supporting in contract- and access-related matters)
• Set up meetings for team members, organize offsites, team events and client lunches (arranging rooms and catering, providing documents)
• Set up video conference calls, divisonal learning sessions and manage visitor registrations
• Organizing international business travel for both CEO iptiQ EMEA P&C and Executive Management Team
• Expense management for both CEO iptiQ EMEA P&C and Executive Management Team
• Handling invoice payments
• Making sure to handle tasks timely and ensure that all deadlines are met
• Update various internal spreadsheets with information on programmes and accesses
• Perform ad hoc tasks as required
• You are recognized by colleagues for being an excellent team-mate, customer focused with excellent solutions finding skills and ability to deal with people at all levels

About the Team

You will be reporting directly to the Executive Assistant of the CEO iptiQ EMEA P&C and also supporting and work closely with the EA as well as the Executive Management Team.

Requirements for the employee

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University student
University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

• You have minimum 5 years experience in a Team Assistant and/or Executive Assistant role in multinational companies serving senior management
• Ability to set priorities and to work independently in a dynamic environment
• Self-starter, think ahead, ability to quickly adapt and execute in organized manner
• Good attention to detail and time management
• Good organizational skills and flexible attitude
• Proficiency with MS Office programs
• Team player with clear communication skills, ambitious, proactive and results driven person
• You are reliable and confident in your ability to handle matters independently and have excellent problem solving skills
• Excellent command of the English language
