Job description, responsibilities and duties

In this role you will provide administrative support to the Head of HR for Reisurance. Core responsibilities include travel arrangements (domestic and international), expenses, calendaring and meeting support. Other activities include organizing leadership team workshops, internal events and special assignments/initiatives relating to employee activities.

You have the ability to work independently, strong verbal and written communication skills. We would like you to have experience at determining priorities and reprioritizing as appropriate. You are comfortable and experienced with driving time management, monitoring progress and gaining cooperation of others. You have the ability to anticipate issues and find solutions independently.

You will work closely together with the Reinsurance HR Partner team as well as other Executive Assistants in the business and HR.

•Plan and manage calendar and arrange travel (domestic and international) including visa applications for Head HR.
•Set up international video conference calls and manage external visitors.
•Schedule and support with administrative tasks related to the leadership team meetings. Organising offsites (on site or external) by booking hotels or conference rooms and organising speakers.
•Expense and invoice management for Head HR.
•Support the preparation of presentations. Verifies edits and formats documents as required.
•Be a reliable point of contact for requests in the absence of Head HR. Provide information and answer questions; directs questions to other appropriate staff when necessary. Handles all confidential information appropriately.
•Manage the RI team Sharepoint site. Upload documents and manage online team calendar.

Requirements for the employee

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

•Seasoned professional with extensive experience supporting senior executives (minimum of 3 years)
•High energy with outstanding organization and time management skills and ability to work independently.
•Excellent verbal and written communication skills in English, detail orientated with the ability to prioritize multiple requests and deadlines
•Ability to interact with staff at all levels and work effectively in a team environment
•Proven follow-up skills, flexible, thorough, self-starter with the ability to multi-task, anticipate, and function well under pressure
•Proficiency in MS Office products such as Excel, Word, Power Point, SharePoint, Outlook and OneNote. Performs daily work independently with limited direction
