Job description, responsibilities and duties

Communication

• To screen phone calls, emails, enquiries, requests and handle them when appropriate.
• To meet and greet visitors to school.
• To provide high level of confidentiality in all aspects of work.
• To assist people in a helpful and diplomatic manner.

Day to Day Operation

• Providing an efficient, professional and friendly reception service for school (dealing with telephone, email as well as face to face inquiries to parents, pupils, customers).
• Providing customer service and initial information about the school if Admissions Team Members are not available.
• Receiving and making telephone calls.
• Providing office support related to pupils’ registration including entering morning absences/early leavers, finding out reasons for absenteeism.
• Dealing with all correspondence (Omega), in paper and electronic form including issuing school certificates or confirmations.
• Dealing with requests from members of staff, parents to teachers and vice versa; following up requests/passing on to relevant members of staff.
• Assisting in organizing parents/teachers meetings and be present at PT interviews based on duty - to be shared with colleagues.
• Providing students, parents and school staff with all relevant information regarding school.
• Issuing absent sheets, fire drill sheets, weekly End of day registers for Primary teachers or any relevant documents (only as a cover duty).
• Taking decisions within agreed procedures and showing initiative in the identification and resolution of problems; referring any issues that cannot be resolved to the School Principal or Office Manager.
• Updating welcome TV screen, responsibility for keeping the Welcome Area tidy and clean during the day.
• Checking/opening school entrances/gates.
• Performing related duties as required.
• Be flexible and initiative.

• To deal with queries – and decide how to deal with the query.
• To use discretion in providing information both within and outside the school.
• To deal with parent queries – decide what action needs to be taken and by whom.
• To make decisions about priorities of the work to be produced.
