Job description, responsibilities and duties

We are looking for an energetic person who will join the Swiss Re Solutions team. Your primay focus will be on supporting the Chief Commercial Officer of Solutions (Managing Director), who is heading the Sales and Origination department. This is a great opportunity to be a part of a new and growing global division in a dynamic environment.


About the Team
You will join a team of 10 Team & Executive Assistant based in Bratislava with a local line manager. However, you will be fully dedicated to Solutions.

Your Key Responsibilities:
• Organization of business trips (booking flights, transfers, accommodation etc.)
• Organization of client visits (booking rooms, registering guests, ordering lunches etc.)
• Organization of meetings (booking rooms, scheduling calendar entries, setting up internal/external teleconferences, videoconferences, MS Teams meetings)
• Support in Event Management (Invitations, registrations, reporting)
• Active role as Data Steward in CRM system (creation and updating of new/existing Contacts, Partners and target groups)
• Updating of team flyers, team lists, organizational charts and distribution lists
• Filing and supervising expense reports, processing incoming invoices
• Coordinating office events and team events
• Ordering of access rights for tools
• Support with setting up and evaluation of surveys
• Supporting international clientele

Your Key Competences:
• Understanding strategic context and key characteristics of Swiss Re Solutions
• Understanding the importance of internal and external clients, their needs and continuously working with on meeting these. Focus on delivery, meeting deadlines and providing high quality service
• Ability to plan day-to-day work schedule and objectives, deal with any issues/conflicts arising and work with others to plan, organize and achieve goals
• Ability to adapt to changes in objectives and priorities proactively in response to changing business needs
• Resolution n not to give up in the face of obstacles but to keep attacking them, without losing sight of the goal, have a delivery mentality
• Ability to think and act ahead, spotting problems or opportunities before they arise, in terms of delivery of tasks/projects and resource conflicts. Willing to initiate opportunities for improvement.

Personality requirements and skills

• 3+ years of working experience in administration or any relatable field
• English written and spoken, any other European languages would be an advantage
• Very good knowledge of MS Office tools (Outlook, PowerPoint, Excel, Word)
• Excellent communication and organizational skills
• Very good time management and ability to prioritize
• Self-motivated and independent
