Job description, responsibilities and duties

Are you an experienced Team Assistant searching for an interesting job? Join us and support the Cash & Cost Operations Team. We are searching for an upbeat, positive individual who will be acting as an entry point for a variety of topics and coordinate requests from internal and external partners. You should be a teammate with solid organization skills and ability to plan and set-up wide range of meetings/team events, IT know-how, liaising with attendees at all management levels and ensuring that logistics are well executed!

•Mailbox and calendar management for the department Unit Head
•Set up meetings for team members, coordinate off-sites, team events and partner lunches
•Set up video conference calls and manage visitor registrations
•Coordinating international business travel for Unit Head and the Management Team
•Expense management after the end of the international business travel
•Travel Expense processing support for Accounts Payable and T&E team
•Entry point for new joiners and supporting with various Onboarding's and IT-related requests for internal and external employees (supporting access-related matters)
•Acting as a Delegate for other Team Assistant from our Division
•Making sure to handle tasks timely and ensure that all deadlines are met
•Perform ad hoc tasks as the need arises

About the Team
You will be reporting directly to Cash & Cost Operations Unit Head and work closely with the Executive Management Team.

Requirements for the employee

Candidates with education suit the position

University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

•Preferably an experience in a similar kind of role
•Ability to set priorities and to work independently in a multifaceted environment
•Self-starter, think ahead, ability to quickly adapt and execute in organized manner
•Detail oriented, with ability to balance multiple tasks and deadlines
•Good interpersonal skills and flexible attitude
•Proficiency with MS Office products such as Excel, Word, Power Point, SharePoint, Outlook and OneNote
•Teammate with clear communication skills, results-oriented, proactive and results driven person
•You are reliable and confident in your ability to handle matters independently and have excellent problem solving skills
•Excellent verbal and written skills in English (German is a plus)
