Job description, responsibilities and duties

Provides complex administrative and organizational support to department managers and/or staff and will be responsible for administrative functions of the reception desk. Acts as the first point of contact towards external and internal clients. We are looking for the nice and friendly person who enjoys the daily contact and communication with people.



Responsibilities:

Assisting and guiding of visitors in the office
Answering telephone calls, mail processing, materials shipping, arranging travel details for incoming guests (taxi, hotel etc.)
Ensuring the image of front desk and meeting rooms are maintained at high standard all the time during the working hours.
Acting as office liaison; distributing appropriate information to, and continually communicating with all staff members.
Arrangement of meetings and seminars; coordination of processes, events, and office moves.
Managing of the cleaning firm (communication with cleaning manager, supplies)
Invoice registration & processing as support for finance department
Travel assistant to employees & managers, administration of travel costs reporting (in Concur)
Ordering office supplies, equipment and refreshment; arranging small repairs; handling petty cash.
Distributing and safekeeping of Company Elavon credit cards
Assisting staff with other administrative duties ( ad hoc translations – sales, marketing, marketing events support).
Helping in organization of events (team building, New Year party, company breakfast)
Responsible for pool car (managing the calendar, paperwork, vignettes)
Communication and organization of courses on Safety and health at work (BOZP), fire protection, ensuring the inspection of electrical equipment

Requirements for the employee

Candidates with education suit the position

Secondary without school-leaving examination
Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)
