Job description, responsibilities and duties

PURPOSE
Conducts a range of diverse administrative or staff functions, which may include finance, human resources, information technology, planning, supply, and other corporate services. Delivers administrative and related support services to the organization.

Manages the real estate portfolio within the region as assigned, directs the planning, development, implementation and maintenance of facilities processes and procedures for assigned locations and applies workplace standards and solutions that support an agile and high-performance workforce.

RESPONSIBILITIES
• Proactively ensure the safety, security, appearance and functionality of facility. Take immediate action on building problems
ensuring code, safety and security regulations are adhered to, interacting with building management, global security and
outside vendors as required.
• Under guidance, assist with the planning and execution of internal office moves.
• Act as onsite representative for fax/copiers - troubleshoot and place maintenance calls as needed.
• Code invoices for approval of Site/Regional Facilities Manager.
• Ensure internal and external facilities policies and procedures are followed.
• Ensure that recycling program is operating efficiently.
• Act as the Facilities representative on the Emergency Response/Building Evacuation teams.
• Interact with vendors, Accounts Receivable, Purchasing and Finance to research and properly code invoices for payment.
• Provide accurate completion of copy requests and reports relating to work completion in Copy Center.
• Maintain inventory and develop disposition plan for offsite storage.
• Assist with management of construction projects coordinating corporate architect, building owner, local permitting authorities,
and manage contractors in the completion of project on established timeline and budget.
• Take responsibility for the selection and procurement of all Facilities related supplies.
• Other duties as assigned by Manager.

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

REQUIREMENTS
• Effective interpersonal skills and ability to work cooperatively with others.
• Working knowledge of MS Word and Excel
• Ability to establish and maintain effective working relationships with co-workers, managers and clients.
