Job description, responsibilities and duties

• Assist the COO and HR in planning, organizing and coordinating functions relating to the operation of the business
• Manage internal communication with employees
• Organize company events
• Maintain an updated client, customer, contractor and supplier management system
• Monitor expenses and budget in line with the finance and accounts department
• Order office supplies and maintain inventory levels
• Train new employees and ensure that health and safety regulations are followed
• Coordinate with different departments to achieve optimal work production across the board
• Maintain policy and procedure documents
• Identify space for improvement in the office space
• Organize of contracts and documents
• Installation and maintenance of laptops, tablets, network, security administration with ability to advise
• Help Chief Financial with invoices, inventory, communication with accounting
• Assist operations manager with running the office, real estate, equipment, and office fit-outs
• Assist HR manager with training, contracts, documentation
• Onboard new employees and ensure that health and safety regulations are followed

• 1+ years of experience as an operations specialist, office manager or in a similar role
• Project management and leadership experience
• Experience with IT support - installation, maintenance, repair, setup of various IT equipment
• Ability to analyze and improve operational processes
• Strong people management and organizational skills
• Excellent communication skills, both written and verbal
• Strong problem-solving and time management skills
• Ability to work independently without the supervision
• Excellent English (both verbal and written)
