Job description, responsibilities and duties

As Executive Assistant, you will ensure smooth day-to-day engagements between the Head of HR Corporate Solutions and various internal and external partners. This primarily includes calendar management, administering email correspondence, handling incoming calls, greeting visitors and answering questions. We need you to be very good at meeting management. This means error- free and representative preparation of meeting documentation, gathering various information, preparing graphic presentations, taking notes and distributing meeting minutes.

You will help your line manager to cultivate important relationships with important business partners. You will provide travel and meeting arrangements, developing itineraries and agendas. This requires your availability during the day to quickly address any last minute changes or cancellations. Even if you are expected to master your job independently, you will be a part of a small team consisting of HR Partners and Process Coordinator. Together with Process Coordinator, you can collaborate on completion of local project work and special assignments by gathering internal data, quality checking, progress monitoring and preparing information based on the data. You can also enrich this job by taking part in communications content creation and/or review that Head of HR builds through various communication channels. This obviously requires your creativity and attention to detail at the same time.

You should also know entering the world of our senior HR and business management entails exposure and handling sensitive information and data.

Requirements for the employee

Candidates with education suit the position

University education (Master's degree)

Language skills

English - Upper intermediate (B2)

- Diary management – savviness around how diaries work and ability to co-ordinate activities
- Ability to plan ahead and react to potentially conflicting demands
- Attention to detail, accuracy, excellent standards of document presentation, proof reading,
- Contributing new ideas, approaches and methodologies to improve the HR function and our quality of service to clients.
- MS Outlook, Word, Excel (pivot table knowledge desirable), PowerPoint, Touch-typing
