Job description, responsibilities and duties

Provide administrative and logistical support and assist with projects to the Finance Corporate Solutions Senior Management members - namely the two Managing Directors "Global Controller & Head Capital & Liquidity Management" and Directors "Head CFO Office, Head Consolidation & Reporting, Head Global Financial Planning & Analysis, Head Financial Management and Senior Carrier Management Officer" based in Zurich. Act as an entry point for a variety of topics and coordinate requests from internal and external stakeholders.

Main duties:
• Fully involved in the business activities of the Finance Corporate Solutions Senior Management members - including work that are sensitive and highly confidential
• Responsible to proactively manage their schedules and calendars (organization of meetings, conferences, team events and offsites including managing conflicts and deadlines)
• Arrange travel itineraries, ensure adequate administrative cover and logistical activities for the Finance Corporate Solutions Senior Management members, including travel & entertainment expense filings
• Communicates directly on behalf of the Senior Management members
• Following up on incoming requests and take necessary actions
• Prepare presentation materials, minutes and necessary documents
• Support records management, establish and organize filing system
• Support, participate and co-ordinate ad hoc projects when needed
• Expense management
• Interact professionally with all levels of Swiss Re's employees, customers & vendors
• Perform ad hoc tasks as required
• Deputize other Executive Assistant

Candidates with education suit the position

Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

Personality requirements and skills

1. Minimum 5 - 7 years professional experience in an Executive Assistant role in multinational companies (financial industry is a plus) serving senior management
2. Ability to multi-task, work on multiple priorities, work independently and as a team in an ambiguous environment
3. Self-starter, think ahead, ability to quickly adapt and execute in organized manner
4. Very strong interpersonal and organizational skills
5. Able to manage priorities of different stakeholders with different deadlines in the most efficient way
6. Good attention to detail and time management
7. Ability to execute in a fast paced, changing and matrix environment
8. It is expected to carry out daily work without a lot of instructions and/or guidance
9. Team player with clear communication skills, self-motivated, proactive and results driven person
10. Engaging and motivating, strong problem solving with sound organization skills
11. Ability to successfully interact with all levels of management to complete tasks
12. This role require a comprehensive knowledge of overall divisional activities and/or specialized programs and services
13. Proficiency with MS Office programs
14. Excellent command of the English language (expert written and communication skills), German language is a plus
