Job description, responsibilities and duties

You will be responsible for managing the Bratislava based HR Scheduler team. The team primarily supports the Recruiters, the hiring managers and applicants in all tasks that relate to interview scheduling across all of Swiss Re’s business functions in Switzerland and the branch offices as well as will act as deputy for any other location. The team takes ownership for organizing interviews, applicant correspondence and is responsible for a proper interview process. The position-holder will ensure that the team provides timely and qualitative services, and that the relevant know-how in the team stays up-to-date. Another essential responsibility will be to constantly review and improve internal practices to maintain high level customer services. The position-holder is required to maintain good contact with internal stakeholders and to ensure proper deputy management at any time.

Your main duries will be:
- Direct line management responsibility for HR Interview Coordination team in Bratislava (capacity planning, shift plans, performance reviews, training, development plans etc.)
- Responsibility for resource planning to ensure optimal work balance (availability from 8am to 10/11pm from Monday to Friday)
- Scheduling interviews for 1st and 2nd round in collaboration with hiring managers, recruiters and candidates for the US market and Switzerland
- Act as contact person and managing the correspondence for candidates, interviewers and recruiters during the entire interview scheduling process
- Pro-active and continuous optimization of the current portfolio, processes and procedures in close cooperation with HR Partners and other HR stakeholder
- Responsibility of the reimbursement process of applicant expenses
- Drive for high customer satisfaction within given framework and constantly improve internal processes and procedures to increase client orientation and effectiveness
- Develop and use metrics to steer own unit and make contribution transparent to the Head HR Operations Services
- Further develop opportunities to expand the portfolio of interview coordinators
- Drive standardization of processes and procedures
- Establish and maintain strong communication channel with key stakeholders within HR
- Ensure strict adherence to all HR processes, policies and guidelines
- Act as change agent with regards to HR TOM transformation
