Job description, responsibilities and duties

JOB DESCRIPTION:

Provides Administrative Support to different Leaders and their team such as: travel arrangements & logistics; different type of reporting, preparation and maintenance of documentation (presentations, reports, minutes of meeting, etc.), organizing meetings and events, working with corporate tools in accordance with the recent policy, procurement activities, and other ad-hoc tasks in as per management requirements.


RESPONSIBILITIES:

  • oversee the employees attendance administration, vacation tracking, management team calendar etc.
  • manage required paperwork and its flow for the organization (attendance sheets, meal tickets,expense claims)
  • lead the office administration in general, ensure logistics support for customer visits, coffee talks and other events; organize and take meeting minutes in staff meetings
  • conduct ordering and purchasing (ORC, Smartbuy) on behalf of the management team
  • be a single point of contact for GRE and capacity-related administration: seat tracking, parking tracking etc.; ensure the needed stationery is in place
  • oversee administration and regular updates of your organizations forms and tools, e.g. orgcharts etc.
  • support travellers before and after business trips, be responsible for travel administration and tracking
  • logistically organize internal trainings and lead the training tracking and reporting
  • in an advanced BusOps role, support key business processes in your organization on a day-to-day basis, such as:
  • incoming and outgoing business tracking and monitoring (WMA,PPCM)
  • coordination and support of hiring within the organization(ORC, Taleo etc.)
  • headcount and financial tracking and forecasting; keep track of cost saving actions


REQUIREMENTS:

  • Excellent communication skills
  • Ability to solve issues independently, pro-actively, with minimal or no supervision
  • Ownership and assertiveness
  • Team player, service-and result-oriented
  • Education: min.secondary/high school graduation, bachelor or university degree is advantage
  • Min. 2 years of experience in similar type of position in IT, financial or commercial service environment
  • Written and spoken English (German or other additional foreign language is an advantage)
  • Very good command of PC office tools (MS Outlook, Word, Excel and PowerPoint)
