Information about the position

Job description, responsibilities and duties

Assistant to the Resource Development Director and perform a wide range of administrative and office support activities to facilitate the efficient operation of the RD & support Communication department.

Administrative support
- Providing assistance with various administrative duties, general office work
- Assisting HR with setting up times for orientations (RD and COMMS central diary)
- Maintaining the BBEC database with fundraising experience and contacts for the RD team
- Liaising with other departments/HFHI HQ/AOs in general matters
- Responsible for reading and forwarding or responding to email inquiries received to EMEA´s general email address
- Compiling SIFT and Quarterly reports and chase all submissions to be in time
- Updating the EMEA country corporate list from the SIFT
- Distributing relevant information via email and Sharepoint to all RD/GV groups in our region
- Updating the EMEA RD country contact list (and COMMS contact list for former ECA)
- Assisting with communication with NO´s on various occasions
- Doing printing, collecting promotional materials, burning CD´s and packing (outsourcing of CD burning, printing and cutting when larger quantities)
- Mailing and posting contracts and other documents
- Assisting with communication with vendors, organizing pick-ups of materials
- Supporting RD and COMMS departmental projects and research, multinational regional conferences (also logistical support to those)
Logistics
- Assisting with organizing the relevant countries directors´ meeting (if taking place in Bratislava, also travel/hotel/conference room/meals)
- Organizing EMEA RD and COMMS staff travel - pre-approvals, transport and visa (Letters of Invitations, embassy information, etc), booking hotels, finding directions
- Organizing weekly EMEA AO RD team meetings and calls - keep track, distribute agenda, collect feedback to topics, etc.
- Supporting/coordinating trips of visitors (in- or external persons), get quotes and time/agenda, pre-approvals
- Logistical supporting of expacts in Bratislava (making appointments in Slovak, finding out information)

Reporting
- Infor expense reporting and travel expense reports of staff
- VISA corporate credit card reporting

GV support
- Downloading rosters for all teams going out via EMEA Sending Program, preparing the Emergency Contact Sheets for GV teams, embassy registration
- The opportunity of participating in RD and COMMS departmental projects and research, multinational regional conferences (also logistical support to those)

EMEA Legal Counsel support
- Arranging the travels (price quotes, pre-approvals, expensewatch reports),

Perform other related duties as required

Personality requirements and skills

- Excellent organizational and administrative skills required
- Excellent oral and communication skills in English required, ability to speak at least one other language preferred
- Ability to prioritize
- Ability to assess and solve the problems
- Ability to work independently and to meet deadlines. He/she should be able to work under pressure, be willing to work overtime when required
- A good knowledge of Excel, Word, database management and Internet research experience is essential
- Affinity and some experience in PR/FR and international development is preferred
