Administrative Assistant MITG, Bratislava, Slovakia

The main purpose of this job is to perform diverse supporting, secretarial and administrative duties which require versatile, energetic, complex personality with business judgment. This role reports to Business Manager MITG.

Key responsibilities:
  • Organizes and co-ordinates team activities, meeting arrangements, trainings and associated tasks.
  • Issues letters, reports, forms, supports other department's involved processes. Drafts brief memoranda, meetings minutes or letters.
  • Provide general back office support, including travel arrangements, correspondence, organizational charts, compiling data, invoices, contract management, calendar management, and meeting minutes and reports
  • Identifies issues in documents, memos, correspondence or telephone calls that require action and proactively handles by selecting from available alternatives.
  • Provides logistic support (ordering of materials, office supplies, business cards), keeps track of marketing activities of the team.
  • Submits required documents to legal/compliance/HR/logistics/finance.
  • Work with other department Assistants to ensure best practices.
  • Assists team with general administration (payments, expenses and invoice handling, relocation issues).
  • Assist team in searching alternative vendors and works close with current vendors.
  • Assists to Business Manager MITG.
Main requirements:
  • High School diploma or equivalent
  • 1-3 years of similar job experience
  • English, fluent spoken & written
  • Strong planning and organizational skills
  • Excellent communication skills - written & oral
  • Results/Solutions oriented ('get it done')
  • Ability to work in complex organizations
  • Ability to cope with demanding workload
  • Multi-tasking and prioritizing
  • Proactive, independent, self-sufficient
  • Excellent computer skills, with excellent knowledge of Excel, PowerPoint, Word and Outlook
  • Experience with SAP, PeopleSoft an advantage

  • Ability to travel ocassionally.
