Job description, responsibilities and duties

The Receptionist and the Assistant is the first point of contact for the company and provides administrative support across the organization. Handles the flow of people through the business and ensure that all administration tasks are completed accurately and delivered with high quality and in a timely manner.

Responsibilities
• Serve visitors at all levels of seniority by greeting, welcoming, directing and announcing them appropriately
• Screening phone calls, enquiries and requests, and handling them when appropriate
• Producing documents, briefing papers, reports and presentations
• Carrying out background research and presenting findings
• Update appointment calendars and schedule meetings/appointments
• Maintain security by following procedures and controlling access
• Receive and sort daily mail/couriers
• Make and Coordinate travel arrangements, support client’s visits (Visa pre-check, taxi transport, hotel and restaurant reservation)
• Perform clerical duties such as filing, photocopying, collating, faxing and other ad hoc requests
• Must be a self-starter, be on time and ready for work, able to take on tasks with very little direction, articulating the need for resources as and when required
