Job description, responsibilities and duties

Part time role with working hours mainly from 4 pm until 8 pm (or late evenings if necessary). Position is suitable for University student and could be a good learning experience also for law students.

This person will be providing a comprehensive secretarial and receptionist services to the members of the Legal Team after normal working hours or during normal hours in case of absence of daily secretary or receptionist.

Secretarial duties
• clerical and administrative support to lawyers;
• word processing, copy typing, letter writing, dealing with telephone and email enquiries, maintaining and updating the filing systems and archiving; organising travel and accomodation for staff, photocopying, scanning and printing various documents; etc.
• other related duties incidental to the work described herein.

Receptionist duties
• reception & protocol duties (welcoming and guiding visitors, booking taxis and arranging catering/refreshments for visitors, keeping the calendar for the conference rooms, preparing the rooms for meetings, orders stationery for the conference rooms);
• switchboard operators’ duties (answering all external and internal phone calls in a timely manner, greeting callers, providing information, transferring calls and/or taking messages and follow up as necessary, organising conference calls );
• making DHL / UPS orders and preparing the documents for the delivery (i.e. filling in the DHL forms, proforma invoice and other documents necessary for the customs);

previous experience at admin/paralegal position
excellent communication skills in both English & Slovak language (written & spoken)
good type-writing skills are advantage
computer literate (especially document formatting, tables (in both word & excel), outlook, internet and powerpoint
strong sense of initiative, good problem solving skills, good sense of organisation, attention to detail, good people skills
ability to work in a fast-paced environment, ability to work under pressure
