Job description, responsibilities and duties

Position Overview
We are currently seeking to recruit a Works Allocator in Bratislava. You will be responsible for the day-to-day coordination of delivery of diverse FM services hard and soft (M&E and fabric services and maintenance, cleaning, waste, within site, including supply chain and Delivery Team performance. You will be the primary point of contact for customers within site. To assist in all service delivery to ensure consistency and proactive service to Authority

Responsibilities

The Works Coordinator has a key role in making sure that the Management and Delivery of the FM Services are in line with the contractual requirements, ensuring that KPI’s are adhered to, as well as meeting all obligations to the client as outlined in the site specific schedule of works.
1. Programme Management
• Responsible for the delivery of planned, reactive, M&E, Soft FM and building fabric works
• Responsible for established services and all other reactive and ad-hoc services
• Planning and co-ordination of all works/services with supply chain
• Support of incidental works and other new works programmes
• Ensure that information held on MIS is accurate and timely
• Manage all information and data transfer between Interserve Senior Management teams and supply chain.
2. Networking
• Liaison with Client representatives and customer
• Co-ordinate all operations with service teams, central helpdesk team, Interserve Management and supply chain
3. Budget Management
• Management of budget to ensure works are completed to time and cost
4. Performance Management
• Produce performance measures to demonstrate satisfactory service delivery, performance against KPI’s and SLA’s and costs against budget
• Use of MIS to manage all aspects of service delivery against contractual performance indicators
5. Quality Management
• Undertake quality audit of works in progress and completed
• Undertake quality audit of all established services
• Support the Continuous Improvement programme and identify issues to drive forward contract development.
6. Compliance and Fraud
• Fraud Awareness
• Responsible for ensuring compliance with relevant legislation, Health and Safety, Quality Assurance & Environment
7. Supply Chain
• Liaise, audit and manage the supply chain
• Regular review of supply chain partners ensuring that service needs are achieved

Candidates with education suit the position

Secondary with school-leaving examination
University education (Bachelor's degree)
University education (Master's degree)

Slovak - Proficiency (C2) and English - Upper intermediate (B2)

Personality requirements and skills

The ideal Works Coordinator will exhibit the following essential technical competencies for the role:
• Experience in dealing with sub-contractors and supply chain
• Understanding of help desk/call centre processes and work flow
• Able to co-ordinate and manage planned and reactive services end-to-end
• Experience of co-ordinating works and sub-contractors
• Experience in providing/undertaking minor maintenance and minor fabric repairs
• Collation of service data, detailed reporting and performance analysis
• Proven track record in successful people management
• To have a technical background (civil or construction engineering)
• Awareness of policies and systems such as H&S, QA, environmental and corporate while complying with current and appropriate legislations and standards
• IT literate in MS Office and systems management software
• Excellent in organisation skills, scheduling, time management.
• Fluent in Slovak and English (written and oral)
• Excellent communication skills
• Attention to detail
• Being flexible in stepping in and covering variety of tasks within the team.
• Holder of a full and valid driving licence
The following technical competencies are desirable for the successful Works Coordinator:
• Experience in a similar FM role
• Experience in the management of internal multi skilled service delivery teams
• Previous experience working for public service sector
• Specific experience in manual handling tasks
• Valid formal H&S qualification e.g. IOSH
