Position Overview
We are currently seeking to recruit a Part Time Receptionist to work 20.75 hours per week in Bratislava. You will be responsible for providing a welcoming, courteous and polite Reception Service in accordance with approved client procedures. You will act as a local interface between client and onsite staff and IFM central helpdesk. Responsible for managing switchboard, sorting and franking mail and assisting with various administration tasks for IFM to run the office operations smoothly. You will also be responsible for receipting and coordinating response for jobs received via central helpdesk and keeping Management Information System (MIS) up to date with progress and completion.
Responsibilities
• Responsible for ensuring all visitors sign in and out and are issued with the correct badges and passes for the duration of their visit
• Bringing to the attention of all visitors the standard instructions regarding Fire procedures
• Maintain a log of all visitors for the benefit of security and evacuation procedures
• Responsible for answering and connecting all calls received through the switchboard
• Responsible for receipting jobs raised for site via central helpdesk and distributing for effective response
• Responsible for upkeep of MIS with local delivery performance
• Acting as local point of contact for receiving jobs from customers that have not gone through central helpdesk and updating MIS with job details
• Alerting Authority of works and arranging access
• Assisting with stationery orders & deliveries
• Carrying out administration functions for site
• Sorting mail
• Franking mail
• Ordering couriers
• Covering for absence, time flexibility required
