Job description, responsibilities and duties

Under the direct supervision of the Resources Management Officer in IOM Bratislava and overall supervision of Head of Office in IOM Bratislava and in close cooperation with the Administrative centres in Manila and Panama, incumbent is responsible mainly for support and assistance related to financial management and accounting of IOM office in Bratislava and sub-office in Kosice. Specifically, s/he will perform:

A) Finance administration
a. Accounting in PRISM/SAP – Petty Cash
i. Insert entries for Petty cash accounts for Bratislava office
ii. Reviews and corrects entries for Petty cash of Kosice sub-office
b. Accounting in PRISM/SAP – incoming invoices, TEC and other expenses
c. Accounting in PRISM/SAP – Purchase order creation, MIRO
d. Accounting in PRISM/SAP – VAT and consumtion tax related entries
e. Accounting in PRISM/SAP – G/L entries, credit notes, advances processing, corrective entries processing
f. Accounting in PRISM/SAP – Payroll processing in HR and FI module according to projectization received from supervisor and project mangers
g. Accounting in PRISM/SAP – non staff payroll processing according to data from supervisor
h. Accounting in PRISM/SAP – logbook related entries and petrol purchases entries with VAT and consumption tax recognition
i. Accounting in PRISM/SAP – other related to authorized roles
j. Extracts reports of posted entries for projects and activities realized by the mission
k. Prepares necessary request for revenue bookings
l. Assisting in preparation of monthly accounts submission and monthly accounting package that is sent to MAC and dispatches the package
m. Assists project assistants in explaining and finding necessary accounting documentation to posted PRISM/SAP entries
n. Updates and maintains monthly mission financial submissions calendar
o. Prepares and distributes monthly spending report from PRISM/SAP for all mission related projects to project assistants

B) Asset management (in and outside of PRISM/SAP)
a. Assists in Printing and labeling of barcodes/labels to all mission assets according to PRISM/SAP
b. Assists in yearly asset inventory taking
c. Updates asset records according to changes of location and responsible person for assets

C) In case of absence of administrative assistant in RM unit assist in bank transfer preparation, mail registering, filing of accounting documentation.

D) Other duties assigned by Head of office.

Educational Specialization

International, inter-governmental organization in the field of migration.

Language skills

English - Upper intermediate (B2) and Slovak - Upper intermediate (B2)

Other knowledge

Double-entry bookkeeping - Advanced
Payroll accounting - Basic
Microsoft Excel - Advanced
SAP - Basic

Number of years of experience

Personality requirements and skills

• Masters’s degree in Economics or Business Administration
• Three years of accounting or financial administration experience;
• Excellent knowledge of double entry bookkeeping
• Experience with accounting in SAP
• MS Excel advanced knowledge is required
• Strong analytical thinking
• Excellent in numbers
• Strong planning skills and strong in keeping deadlines
• Ability to work independently and also in a team
• Ability to explain finances to non-finance people
• Experience with US GAAP, UK GAAP or IPSAS is an asset
• Experience with HR administration is an asset
• Fluent in both English and Slovak language
