Event Manager, GBS Learning & Knowledge Europe 

Job description
Event Manager provides logistical and co-ordination support for a selection of GBS training courses and events across Europe.
Is serving as a reliable source of information about GBS L&K training courses and associated policies and procedures. Event Manager is responsible for building and maintaining close links with Learning Consultants, Education Managers, L&K Staff and Tutors, IBM Learning, external vendors and suppliers, providing up to date information and assistance.

Key responsibilities:
- Liaise with the Education Managers Team
- Set up course events as Offerings on Talent@IBM
- External and internal venue sourcing (following budget guidelines), with possible need for on-site visits.
- Provide advice to potential participants re courses and material available.
- Responding effectively and timely to telephone/mails enquiries related to training within GBS.
- Processing and raising carts / purchase other requests.
- Liaising with stakeholders, Education Managers and tutors to ensure smooth running of each event and provide information on course attendance.
- Preparing and forwarding invites and joining instructions for designated courses.
- Organising materials.
- Scheduling and co-ordinating course tutors (internal or external).
- Following relevant approval processes
- Understanding / adhering to and communicating L&K training and financial policies.
- Data management – ensuring data quality and integrity in the Event Management Briefs / Event Management Tool
- Maintaining course attendance records on Talent@IBM.
- Conducting appropriate checking on invoices received for courses administrated.
- Decision making
- The jobholder has responsibility for making decisions within specified guidelines.
- Prioritising own workload and working unsupervised.
- Liaising with Event Management Lead / Education Manager / Programme Manager / Learning Consultant about when to schedule courses/escalate issues. Assisting as appropriate with creation and co-ordination of training courses. Required skills: strong communication and organizational skills, Project Management skills. Minimum of 3 years experience in a services orientated and/or HR role/organization. Person must have proven performance in working in an international environment on virtual basis. Working as part of GBS Learning & Knowledge Europe Organization, the person who fills this role is to perform as trusted business advisor to stakeholders; to build and maintain strong relationships, must be a proactive, self-starter, who works independently and takes personal ownership on executed events.

Required
  • Master's Degree
  • At least 3 years experience in strong communication and organizational skills
  • At least 3 years experience in Project Management skills
  • At least 3 years experience in services orientated and/or HR role/organization
  • English: Fluent
