Job description, responsibilities and duties

POSITION PURPOSE
To ensure, through training and development, that the Reservations team provide an efficient, accurate and friendly Reservations service creating customer satisfaction.
To maximize revenues to achieve budgeted and forecasted Transient Revenue targets by motivating the Reservations team, creating an environment of commitment to financial goals and results and managing status control.

The minimum pre-requisites for this position is that the candidate is fully conversant in all Reservation Supervisor tasks, is enthusiastic about the hotel, displays a willingness to learn, pro-actively develops the Reservations Team and has a focus on Customer Satisfaction.

ESSENTIAL FUNCTIONS
• Maintain and implement Reservation standards (all data to be entered in the systems in a timely and accurate manner; data to be reviewed and analyzed on an ongoing basis, receipt of any email request is acknowledged within a maximum of 24 hours).

• Conduct regular staff appraisals focusing on goal setting and achievement, along with continuity planning and development.

• Monitor, complete analysis and feedback of a test call program, ensuring targets are achieved.

• Maintain an internal upsell program for the Reservations department.

• Support in the management of Opera PMS issues, including any upgrades, and to be the main contact point within the Hotel for communicating and tracking of these issues.

• Prepare various reports on scheduled basis, as requested by Revenue Manager (Revenue Plan uploads, Daily Pick-up, Occupancy forecast, Competitive pricing, STR, Monthly Actuals)

• Manage No Show / Cancellations billing on a daily basis to ensure accuracy.

• Manage the Individual, Company and Travel Agent profiles, ensuring these are created, merged, maintained and updated correctly and accurately.

• Support Revenue Manager on managing rooms’ inventory to achieve optimum results in occupancy, average rate and revenue, by reviewing daily reservations accuracy, rates compliance from segment and source, system close-out when necessary, and rate availability.

• Supports Revenue Manager in other tasks given.

• Establish regular channels of communications by attending:

• Daily Morning Briefings
• Weekly RevMax Meeting
• Monthly Department Meeting
