Job description, responsibilities and duties

Nature and aim of the position

Global Blue has developed a Shared Center Service /SCS/ in central Europe to centralize many of the administration tasks from the local subsidiaries. Global Blue wants to extend its SCS offering and be opened for new countries and offer better service.

The Office Assistant reports to the HR & Administration Manager and has the responsibility for the support of HR & Administration Manager and operation department:
1. Reception duties
2. Office coordination in Bratislava
3. Communication with suppliers
4. Assist staff with administration
5. Cooperation within SCS and local countries


Main duties and responsibilities

To ensure the main aims listed above are handled in a professional and structured way including:
• Responsible for fully functioning of receptions during working hours
• Reception duties – answer phone calls, assist to visitors and the general public, issue visitor badges, petty cash, evidence of invoices
• Correspondence – send on time
• Order office supplies and monitor inventory
• Ensure with all purchases we have achieved best market prices and office runs efficiently
• Coordinate travel/travel insurance, accommodation for staff as requested
• Assist staff with administrative, correspondence duties
• Assist with supporting HR documentation
• Ensure all property (furniture, PC´s, printers…) is registered

Requirements for the employee

Candidates with education suit the position

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)

Language skills

- Ability to complete tasks to set deadlines and quality criteria
- Ability to organize, multitask, prioritize and work under pressure
- Technically skilled

Experience:
- 1 year of experience with above mentioned activities like administration/reception etc.
