Information about the position

Job description, responsibilities and duties

Operation:
Arrange, coordinate and monitor all inbound and outbound freight services aligned with customer’s freight management needs and in line with GEODIS internal policies and procedures,
• Review customer’s requests, execute client contact and align customer needs and services provided, evaluate and propose the most cost effective solution based on service level - select appropriate carrier
• Manage gathering and hand-over of shipping documents
• Coordinate customs clearance
• Communicate with carriers to confirm shipment schedule and inform customer accordingly
• Plan and Manage pre-carriage/on-carriage, issue Transport Orders and release Bookings to carriers
• Create shipping documentation in TMS and PRE-ALERT
• Responsible for KPI Monitoring, proactive shipment monitoring, daily update of Milestones in TMS
• Provide support with development of new SOP’s in cooperation with sales and Customer Business Implementation
• Align new customers SOP’s within the team and provide colleagues with support
• Implement new customer contracts and coordinate the correct execution of accompanying SOP’s

Pricing and Tariffs:
Negotiate rates with carriers on local level, compare procurement contracts with the main carriers in order provide customers with competitive rates for desired service to ensure their satisfaction.
• Analyse Carrier and Customer contracts and identify options
• Constantly monitor and re-evaluate the market situation, price development, service offerings and free capacity for the main trade lines
• Provide customers with a spot rate request or General rates based on agreed internal customer tariffs
• Assist the department manager in the preparation of the group and local RFQs

Administration:
Gather documents and information’s, process and set-up files to ensure proper handover of files and documentation in line with GEODIS policies and procedures, in order to ensure proper administration of files and enable a clear overview of operational activities.
• Gather information, create files and upload documentation in TMS
• Prepare billing in TMS – A/P & A/R accruals
• Compare A/P invoices with accruals and process in TMS
• Issue A/R invoices and Close files
• Ensure proper archiving and document hand over to clients
• Support the accounting department in the debts collection and in the improvement of the cash situation

To execute the freight management solutions for our customers in compliance with governmental regulations and GEODIS internal policies and procedures, to deliver outstanding freight services to customers by coordinating shipments, arranging additional services and keeping the customer up to date on cargo progress in order to ensure customer satisfaction.
