Job description, responsibilities and duties

We are looking for a motivated, stress resistant, energetic and highly efficient office manager for an English International Montessori Kindergarten in Bratislava, The Children´s House. Full Time only!

Information about the selection process

Duties of the Office Manager:

Client acquisition – arrange appointments, share basic information about the kindergarten and the daily schedule, tuition fee, food, giving tours inside and outside of kindergarten, preparing the initial documention package, preparing the Daycare Agreement proposals.

Substitute of the head teacher in case of absence; making sure the daily schedule within the kindergarten is followed by the teachers at all times.

Point of contact for the organization of parent´s sessions to discuss child development.

Invoicing at the end of every month, preparing incoming invoices for payment, sending all invoices to accountant once every quarter, first point of contact with external accountant.

Preparing documentation for authorities in cooperation with the accountant.

Keep all files systematically in order.

Suggest and organize daily trips with children (museum visits, ZOO, Botanical Gardens, Theater, picnic etc.).

Making a selection of photos every day to be posted on the website, and prepare albums for birthday´s and special occasions.

Ordering the lunches, make quality check of lunch and provide feedback to provider, keep record for the purposes of RUVZ (Hygenic Office), discuss eventual food allergies with parents and provider.

Ordering materials, including accessories of arts and crafts activities, hygenic paper, books ...

Ordering any specialist to fix/repair/replace anything necessary

Managing the cleaning person and gardeners – checking the quality of work and give constructive feedback.

Organize parent events at the occassion of Christmas, Halloween, Year End.

Candidates with education suit the position

University education (Bachelor's degree)
University education (Master's degree)

Excellent communicator in Slovak and English language. Professional attitude inside and outside the kindergarten.
Ability to direct contractors in a firm but friendly way.
Always has the overview of ongoing and future activities.
Excellent PC skills - ability to trouble shoot and help colleagues.
