Job description, responsibilities and duties

Key Duties & Responsibilities
• As a dispatcher responsibility for running a team of 5-10 customer engineers located in Spain
• Processing new orders in ERP system in well-timed manner
• Scheduling service requests, maximizing efficiency, productivity and product knowledge of customer engineers
• Raising purchase orders for material and subcontractors following company policies
• Ensuring total discipline in the use of the ERP system and Wireless Field Service
• Controlling staff holidays, absence, sick leave and co-ordination with Service Operations Manager
• Answering phone calls from customers located in Spain to solve emergency cases
• Invoicing as soon as a job has been completed and closing relevant service requests
• Providing weekly updates on revenues projections and timely escalattion possible capacity issues or material shortage
• Ensuring that efficiency, productivity and overtime targets are met and workload is fairly distributed
• Ensuring reaching relevant KPI targets (overtime, PM completion, First time fix, Customer Engineer productivity, Customer Engineer efficiency…) within his/her area and implementing improvement plans in cooperation with the Service Operations Manager and supervisors
• Responsibility for van stocks inventory
• As a user, comply with the company’s International Trade Compliance policy
• Ensuring all engineers and subcontractors debriefing information are properly collected in order to have clear invoicing and inventory management
• Ensuring costs are monitored on all T&M and project works carried out
• Transfering leads to the sales team
• Assuring liaisons with the accounting department in connection with invoicing procedures and with service sales team for dispatch to the customers, supplying service information (internally and to the customers)

This job requires daily communication in Spanish language with customers (internal and external).

Spanish - Advanced (C1) and English - Upper intermediate (B2)

Personality requirements and skills

Required experience:
At least 1 year of professional experience in commercial area (would be an advantage)

Technical / Functional skills:
PC literacy (excellent knowledge of Microsoft office required)
Preferred knowledge of ERP system ((JDE/Oracle)/As400 system

Personal skills:
Ability to build a team environment and use participatory decision-making
Very strong customer oriented thinking
Strong team player with commitment and a positive attitude
